ANNUAL GENERAL MEETING

The AGM (Annual General Meeting) is held each year during Term 1. The 2026 Annual General Meeting for the Wishart State School P&C will take place on Tuesday, 24 March 2026. We meet at 6:40pm for a 6:45pm start in the school library, with the option to join us simultaneously via Microsoft Teams here.

Executive Committee: The Executive Committee is responsible for ensuring the Association fulfils its legislative requirements and is accountable for the P&C’s operations. Each year the P&C elects the Executive Committee, and will confirm any Sub Committees and their positions.

The Executive Committee consists of the following officers, and all positions become vacant and have to be reappointed yearly at the AGM.

  • President

  • At least one Vice-President

  • Secretary

  • Treasurer

  • And any additional offiers as decided by the Association.

​If you would like to nominate for one of the positions available on the Executive Committee, you will need to complete the Executive Officer Nomination Form prior to the meeting. It’s only if there are no other nominations for the position that you can nominate yourself on the night.

Membership:

New and renewing members are required to complete a membership application form each year at the AGM. During the AGM, agenda item (g) discusses P&C Membership and new/renewing members are confirmed. From AGM agenda item (h) onwards, only those members who submitted a membership application are eligible to move, second and vote.

If you are unable to attend the AGM, you must submit your signed membership form to the Secretary prior to the AGM via email to secretary@wishartsspnc.org.

 

Executive position descriptions

  • P&C PRESIDENT

    The P&C President leads the Association, represents the P&C within the school community, and ensures effective, inclusive governance and communication.

    Key Responsibilities:

    - Understands P&C rules, constitution, and operations
    - Has strong knowledge of meeting procedures
    - Provides leadership to the Association
    - Chairs meetings efficiently
    - Acts as the P&C’s spokesperson and representative
    - Fosters positive communication with the school
    - Builds relationships within the wider community
    - Encourages active participation from members
    - Ensures all voices are heard
    - Oversees employment and business matters

  • P&C Vice-President

    The P&C Vice-President supports the President, assists the Executive team, and ensures continuity of leadership by chairing meetings and carrying out delegated duties when required.

    Key Responsibilities:

    - Chairs meetings when the President is absent
    - Provides essential support to the President
    - Assists the Secretary and/or Treasurer as needed
    - Understands P&C operations, rules, and meeting procedures
    - Acts as the President’s “understudy”
    - Has a solid understanding of all Executive roles
    - Carries out duties delegated by the President
    - May take on specific responsibilities unique to the P&C (e.g., publicity officer, fundraising coordinator)

  • P&C Secretary

    The P&C Secretary manages the administrative and record‑keeping functions of the Association, ensuring meetings run smoothly and all correspondence, documents, and information are accurately prepared, distributed, and maintained.

    Key Responsibilities:

    - Completes administrative tasks required to operate the P&C, especially meeting management and correspondence
    - Prepares and distributes meeting agendas to members
    - Prepares, distributes, and presents meeting minutes
    - Acts on directions given at meetings
    - Organises, records, and maintains information related to the Association’s activities
    - Ensures the Constitution is available and accessible

  • P&C Treasurer

    The P&C Treasurer oversees all financial operations of the Association, ensuring compliance with the Accounting Manual, maintaining accurate financial records, and providing transparent reporting to support responsible decision‑making.

    Key Responsibilities:

    - Ensures the P&C complies with the Accounting Manual
    - Presents financial statements and reports at meetings
    - Pays accounts promptly once authorised
    - Issues receipts for all monies received
    - Maintains the accountable forms register
    - Maintains the P&C asset register
    - Monitors wages
    - Ensures accounts remain current and reconciled
    - Prepares annual financial statements for auditing
    - Ensures accounting processes are open and transparent
